Updated 24 Apr 2026 · TranscriptX editorial
Step-by-step
1) Go to zoom.us → Recordings
Sign in as the webinar host. Click Recordings, find the webinar by date.
2) Share publicly, remove passcode
Click Share. Turn on Publicly. Turn off Passcode Protection. Copy the link.
3) Paste on TranscriptX
Webinars run longer than meetings — 60-90 minutes is typical. Transcription takes a few minutes for long ones. Drop the link on transcriptx.xyz.
Common things that break
- Passcode on the share link. We can't type passcodes. Remove passcode protection on the specific webinar recording.
- Registration required on the recording. Zoom lets you gate replays behind registration. Our servers can't fill out a registration form.
- Webinar report wanted instead of transcript. Zoom's webinar report (attendee list, Q&A log) is a different product. We only transcribe the audio.
- Recording auto-deleted. Free Zoom plans expire cloud recordings quickly. Download locally before the retention window closes.

FAQ
Why is this a separate guide from the regular Zoom recording one?
Webinars have distinct features (registration, Q&A panels, panelist vs attendee roles) that cause different failure modes. The core paste-and-go flow is similar.
Can I transcribe while the webinar is live?
No. Live captioning is a different product. Wait for the recording.
What about the in-webinar chat / Q&A log?
Those export as separate files from Zoom's reports panel. We only process the audio recording.
